Tetum Solution Ltd: Terms and Conditions of Service

Effective Date: 1 May 2026

These Terms and Conditions govern the provision of linguistic services by Tetum Solution Ltd. By engaging our services, the client agrees to the following stipulations. All figures are quoted in Great Britain Pound Sterling (£).

 

1. Payment Terms

  • Invoicing: Tetum Solution Ltd will issue an invoice upon completion of the services or as otherwise agreed for long-term projects.
  • Settlement: All payments must be made in full within 30 days of the invoice date.
  • Late Payments: In accordance with the Late Payment of Commercial Debts (Interest) Act 1998, we reserve the right to charge interest on any overdue balances.
  • Methods: Payment should be made via bank transfer to the account details specified on the invoice. 

 

2. Confidentiality and Non-Disclosure

Given the sensitive nature of our work in legal, medical, and social service environments, Tetum Solution Ltd adheres to strict confidentiality standards:

  • Non-Disclosure: We undertake not to disclose any information, documents, or personal data acquired during an assignment to any third party.
  • Purpose: Information will only be used for the specific purpose of providing the requested interpreting or translation service.
  • Survival of Obligation: The duty of confidentiality remains in effect indefinitely, continuing after the conclusion of the assignment or the termination of the business relationship.
  • Exceptions: These obligations do not apply where disclosure is mandated by law or required by a court of competent jurisdiction. 

 

3. Interpreting Rates & Minimums

Fees are calculated from the scheduled arrival time until the official conclusion recorded at the venue.

  • Day Rate (06:00 – 18:00): £36.00 per hour
  • Night Rate (18:00 – 06:00): £51.00 per hour
  • Saturday Rate (06:00 – 23:59): £51.00 per hour
  • Sunday & Bank Holidays: £60.00 per hour
  • Minimum Charge: Face-to-face appointments require two hours minimum. For longer sessions, the minimum charge is equivalent to the entire duration of the time slot reserved.

 

4. Travel, Expenses & Subsistence

  • Travel Time: Paid at 2/3rd of the applicable interpreting rate, calculated from OX16 3WP.
  • Mileage: 45p per mile for private car travel.
  • Public Transport: Reimbursed at cost (Standard Class rail fare, bus, taxi, tolls, and parking) upon presentation of valid receipts.
  • Accommodation: Hotel costs must be agreed upon in advance and are reimbursed upon production of valid receipts.
  • Subsistence: Other associated overnight costs (meals) are capped at a maximum of £45.00 per night.

 

5. Remote Interpreting

5.1 Pre-booked Services:

  • Day Rate: 60p per minute
  • Night/Saturday Rate: 85p per minute
  • Sunday/Bank Holiday Rate: £1.00 per minute
  • Remote sessions require a 30 minutes minimum booking. Longer appointments are charged for the total duration of the full time slot reserved.

 

5.2 Ad-hoc Services (Subject to availability):

Rates remain as above; however, Minimum payment of 30 minutes applies.

 

6. Translation & Transcription

  • Translation: £0.11 to £0.13 per word, depending on technical complexity. (Minimum charge: £15.00).
  • Transcription: £6.00 per audio/video minute (Minimum £15.00).

 

7. Cancellation Policy

Cancellations must be communicated in writing. The following fees apply:

  • Notice of more than 10 Working Days: No cancellation fee.
  • Notice of less than 10 Working Days: A fee of 50% of the “minimum charge” is payable (plus any non-refundable expenses incurred, such as pre-booked travel or accommodation).
  • Notice of less than 5 working days (or after start time): The ‘minimum charge’ is payable in full, alongside any non-refundable costs incurred, such as pre-booked travel or accommodation. Furthermore, should a session be cancelled upon arrival, or after the start time, the full minimum fee and all applicable travel expenses remain payable.

 

8. Amendments to Terms

Tetum Solution Ltd reserves the right to amend these Terms and Rates at any discretion. Clients are encouraged to review the most current version regularly to ensure compliance.
